About The Position

The Administrative Coordinator serves as the first point of contact for visitors, and callers while providing administrative support to ensure the efficient operation of the office. This position is responsible for managing the organization's main telephone line, coordinating incoming and outgoing mail and package deliveries, welcoming visitors, and assisting with a variety of clerical and administrative duties. The ideal candidate is organized, professional, customer-service oriented, and able to manage multiple priorities in a fast-paced environment.

Requirements

  • High school diploma or equivalent required.
  • Excellent verbal and written communication skills.

  • Exceptional organizational skills and attention to detail.
  • Ability to prioritize multiple tasks while maintaining accuracy.
  • Proficient with Microsoft Office (Word, Excel, Outlook).

  • Sit or stand for extended periods.
  • Frequently use a computer, telephone, copier, and other office equipment.
  • Lift and carry packages and office supplies weighing up to 25 pounds.
  • Occasionally bend, reach, and walk throughout the office.

Nice To Haves

  • Associate degree or administrative training preferred.
  • One to three years of administrative, receptionist, or office support experience preferred.
  • Experience in a customer service environment is highly desirable.

Responsibilities

  • Answer and direct incoming calls on the organization's main telephone line in a professional and courteous manner.
  • Greet visitors and direct them to the appropriate person or department.
  • Maintain a welcoming, organized, and professional reception area.
  • Receive, sort, and distribute incoming U.S. mail.
  • Prepare outgoing mail, including certified and priority mail as needed.
  • Coordinate incoming and outgoing UPS, FedEx, and other courier shipments.
  • Track packages and resolve shipping issues when necessary.
  • Maintain shipping supplies and coordinate pickups.
  • Assist with filing, scanning, copying, and document organization.
  • Prepare routine correspondence and forms.
  • Maintain office supply inventory and place orders as needed.
  • Assist with scheduling meetings and preparing meeting materials.
  • Support special projects and department initiatives.
  • Maintain accurate records and administrative files.
  • Perform data entry and maintain confidentiality of sensitive information.
  • Assist employees with basic administrative requests.
  • Coordinate office equipment service requests when needed.
  • Support company events and employee activities.
  • Perform other duties as assigned.
  • Maintain a clean, organized, and welcoming front office, reception area, breakroom, and common spaces throughout the workday.
  • Perform light housekeeping duties, including loading and unloading the dishwasher, wiping down counters and tables, organizing supplies, and keeping shared areas neat and presentable.
  • Restock breakroom, kitchen, and office supplies as needed.
  • Notify the appropriate department of maintenance or cleaning needs that require additional attention.
