About The Position

The Professional Education Administrative Coordinator provides vital support to ensure the smooth operation of the Professional Education activities, including events in the Center for Clinical Impact. This role involves administrative tasks, coordination of schedules, and communication with staff and external stakeholders. Additionally, the role supports preparation for clinical training sessions and conferences by organizing materials, coordinating logistics, and assisting the Executive nursing staff with related needs. The ideal candidate is organized, detail-oriented, and possesses strong interpersonal and multitasking skills.

Requirements

  • Associate or Bachelor’s degree required, preferably in business administration, Healthcare Management, or a related field
  • Prior experience managing and formatting data sets is required
  • Previous experience in healthcare administration, office management, or similar is a plus
  • Excellent verbal, written and interpersonal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to work on tasks independently with minimal supervision
  • Ability to handle confidential information with professionalism and discretion
  • Proficient with Microsoft Office Suite or a similar program

Responsibilities

  • Maintain and organize department records, reports, and correspondence.
  • Maintain nursing committee minutes and track attendance
  • Maintain professional education contact lists and speaker bureau
  • Schedule meetings and coordinate department activities for the Center for Clinical Impact training sessions and conferences
  • Develop and process departmental invoices, supply orders, and expense reports; manage and track department supplies
  • Coordinate logistics for conferences including registration, travel arrangements, and accommodations
  • Schedule and set up meeting rooms and training facilities with necessary equipment
  • Compile and distribute agendas, schedules, and attendee lists for training/conference events
  • Liaise with speakers and participants to ensure smooth execution of events
  • Track attendance and feedback from clinical training sessions and conferences for reporting purposes
