About The Position

This position reports to the Director of the Office of Student Affairs and works closely with the Director of ASCEND, the Associate Dean for Student Success and Professional Development, the Associate Dean for Student Affairs and Wellness, the Associate Dean for Student Affairs and Residency Planning, and works closely with the Student Affairs Coordinator. This person will coordinate and organize programming for the Advisory Deans, as well as coordinate the longitudinal career advising system, programming, and information sessions, the Specialty Career advisor program, and the mentoring, and shadowing programs. This position maintains and updates student-facing digital platforms, including the MD Program Student Affairs website, Areas of Concentration Website, Career and Specialty Core 3 Canvas Course, and plays an integral role in supporting student academic development and professional growth across the four-year curriculum. This role is responsible for assisting in the planning and executing major student transition and milestone events — including Orientation (and the learning team retreat), the White Coat Ceremony, Parents & Partners, Match Day, and Graduation — in collaboration with OSA leadership, communications teams, and external partners such as public affairs. This position also coordinates the details and execution of the Advisory Dean program as well as the Advisory Dean/student learning team check-in meetings. The coordinator provides primary high level administrative and programmatic support to the Associate Dean for Student Success and Professional Development and the Associate Dean for Student Affairs and Residency Planning, including calendar management, meeting coordination, and project tracking.

Requirements

  • Bachelor of Arts and 2 to 3 years of experience or equivalent combination of education and experience is required.

Responsibilities

  • Assist with development and manage career counseling system and faculty advisor and student leadership online database for student interest groups and clubs.
  • Organize career counseling events such as lunch talks, website, activities fair, and utilize the AAMC Careers in Medicine Curriculum.
  • Work closely with Specialty Advisors to schedule and announce specialty specific events/programming.
  • Assist the Office of Student Affairs in the planning and execution of transitional and major events such as Orientation, White Coat Ceremony, Parents and Partners, Pre-Clerkship Week, Match Day, Graduation Awards, Honor Society Inductions.
  • Administratively support the Associate Dean for Student Success, including scheduling meetings and managing calendar.
  • Serve as administrative support for four Virtual Houses, each made up of one quarter of the student body.
  • Advise student leaders on program development and event planning.
  • Develop programs to facilitate peer mentoring and student faculty interaction.
  • Facilitate participation of Master Clinicians in House activities.
  • Promote expansion and growth of the houses.
  • Maintain the MD Program Website with up-to-date information.
  • Coordinate faculty mentoring program, including pre-clinical and clinical tutoring and coaching.
  • Working closely with the Associate Dean for Student Success and Professional Development, schedule faculty/student meetings, trainings for advisors, including Advisory Deans.
  • Coordinate trainings with Weingarten Learning Instructors for current advisors.
  • Assist in the creation of the Medical Student Performance Evaluations (MSPE) as necessary.
  • Perform additional duties as assigned.
