The Administrative Coordinator will be a proactive communicator who can draft clear correspondence, maintain faculty hiring and onboarding processes, and ensure course evaluations and reports are handled accurately. This role calls for someone who brings creativity to marketing support, reliability to meeting and event coordination, and meticulous care to maintaining faculty resources like handbooks and development schedules. Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of experience in office administration.
  • Superior oral and interpersonal skills are required to effectively communicate general information to faculty and staff.
  • Proficiency with personal computers and software applications.
  • Ability to multi-task and work cooperatively with others.

Responsibilities

  • Provides administrative support to the Director of the Office of Extended Education, such as scheduling meetings and drafting correspondence.
  • Develops, maintains, and coordinates online faculty processing, including faculty candidate screening, faculty hiring, contracts, and letters of agreement.
  • Downloads and distributes faculty course evaluations.
  • Provides direct support of the instructional enhancement activities for the Office of Extended Education (OEE) via event coordination.
  • Coordinates faculty meetings and special training sessions, when requested.
  • Coordinates events such as: Aggie Ring celebrations, graduation celebrations, residency weeks, and general Office of Extended Education internal and external events.
  • Orders supplies and keeps inventory of supplies.
  • Assists the Director with marketing activities such as coordinating, creating promotional supply orders and special events promotions.
  • Provides meeting minutes for scheduling meetings and other faculty development meetings.
  • Updates the online course teaching and subject matter expert course development schedules, and distributes schedules as requested.
  • Updates and maintains the course offerings database, the faculty candidate’s database, and all other faculty services related databases.
  • Runs faculty online interaction reports, general grading reports, and other reports as needed in order to support the program’s online student retention efforts.
  • Prepares and maintains Online Faculty Handbook to educate faculty about Bush School procedures and best practices for meeting online student needs.
