About The Position

Works under general supervision and provides administrative support for the Budget Office to include the exercise of discretion and independent judgement with respect to matters of significance. Serves as a key point of coordination for administrative operations, communications, and compliance with policies and procedures.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of related experience.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Strong verbal and written communication skills.
  • Strong interpersonal and organizational skills.
  • Ability to multitask and work cooperatively with others.
  • Ability to work with sensitive information and maintain confidentiality.

Nice To Haves

  • Degree preferred.
  • Administrative support experience in higher education.
  • Knowledge of and experience with Famis, Canopy, Workday and Concur.

Responsibilities

  • Participates in the planning and execution of administrative operations.
  • May serve as the office manager.
  • Monitors office procedures.
  • Develops, evaluates, and ensures adherence to office procedures.
  • Reviews and prepares documents for supervisor.
  • Attends meetings or committees on behalf of supervisor and may prepare summaries or reports
  • Serves as a primary point of contact for administrative inquiries, responding to non-routine requests and providing information regarding procedures, services and programs.
  • Analyzes requirements for projects or initiatives.
  • Provides technical information regarding administrative procedures, services, or programs.
  • Applies and interprets, and/or assists in implementing management policies or operating practices.
  • Develops and maintains administrative and technical procedures; researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures.
  • May monitor compliance with policies and procedures.
  • Performs special analyses, prepares reports and develops project summaries to support administrative and operational decision-making
  • Coordinates travel arrangements and prepares itineraries.
  • Maintains calendars, schedules appointments and meetings – including obtaining meeting background information, determining appropriate location, date/time and length.
  • Monitors deadlines and materials awaiting action; follows up with stakeholders and tracks progress to ensure timely completion of tasks.
  • Works in collaboration with the finance and administration office and the financial management group.
  • Coordinates the maintenance of Budget Office email inbox, files, records, office supplies, or equipment.
  • Makes recommendations for process improvements, administrative changes, or new initiatives.
  • Hires, trains and supervises student workers.
  • Other duties as assigned.
