About The Position

The Administrative Coordinator I works under general supervision and provides administrative support for a unit or specialized activity, including the exercise of discretion and independent judgment with respect to matters of significance. This role supports students through all phases of the doctoral program, from admissions to graduation, and coordinates various academic milestones such as comprehensive examinations and dissertation defenses. The position also plays a key role in doctoral student recruitment, orientation, and professional development activities, while compiling and maintaining program data for accreditation and reporting.

Requirements

  • Bachelor's degree.
  • Two years of related experience.
  • Equivalent combination of education and experience may be considered.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Interpersonal and communication skills.
  • Planning and organization skills.
  • General office environment.
  • Evening and weekend work may occasionally be required.
  • Position requires on campus, face-to-face interactions.
  • Position requires maintaining a regular schedule of attendance on campus and in the workplace.

Responsibilities

  • Participates in the planning and execution of administrative operations.
  • May serve as the office manager.
  • Monitors office procedures and ensures adherence.
  • Reviews documents for supervisor.
  • Attends meetings or committees on behalf of supervisor.
  • Analyzes requirements for projects or initiatives.
  • Provides technical information regarding administrative procedures, services, or programs.
  • Applies and interprets, and/or assists in implementing management policies or operating practices.
  • Develops administrative and technical procedures.
  • Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures.
  • May monitor compliance with policies and procedures.
  • Performs special analyses and project summaries.
  • Coordinates travel arrangements and prepares itineraries.
  • Coordinates meetings, seminars, and other special events and may provide on-site support.
  • Coordinates the maintenance of files, records, office supplies, or equipment.
  • Makes recommendations for process improvements, administrative changes, or new initiatives.
  • Hires, trains and supervises student workers and support staff.
  • Supports students through all phases of the doctoral program, including admissions, orientation, comprehensive examinations, candidacy, dissertation timeline tracking, and graduation.
  • Coordinates doctoral student comprehensive examinations, dissertation proposal defenses, and dissertation defenses and maintains associated records.
  • Monitors doctoral student progression toward degree completion and communicates program requirements and deadlines to students and faculty.
  • Compiles and maintains doctoral program data for accreditation, assessment, placement tracking, and university reporting requirements.
  • Supports doctoral student recruitment, orientation, and professional development activities.
