About The Position

This position will provide administrative support to the head of East Coast Employment Law. The role involves handling heavy email traffic, coordinating meetings, assisting with document creation across Microsoft platforms, providing basic IT support, preparing correspondence, coordinating travel arrangements, preparing expense reports and check requests, processing legal invoices, assisting with EEOC and mediation materials, onboarding new team members, conducting case and legislation research, maintaining files, managing office spaces, drafting form agreements, preparing reports, inputting data into a claims management system, and performing other related duties as assigned.

Requirements

  • Bachelor’s Degree or equivalent work experience
  • Extremely knowledgeable in Microsoft Word, Excel, Outlook, and PowerPoint
  • Basic familiarity with AI platforms
  • Ability to maintain a high level of confidentiality
  • Highly organized
  • Detail oriented with superior verbal and written communication skills
  • Proven ability to excel in a high volume, multi-task/deadline-oriented executive office environment
  • Solid prioritization abilities and interpersonal skills
  • Ability to work well under pressure
  • Ability to work well in a team environment

Responsibilities

  • Handle heavy email traffic with all levels of internal and external executives in a professional manner
  • Interact and maintain relationships with members of other business units within NBCUniversal as well as with third parties
  • Schedule and coordinate large and small meetings using Microsoft Outlook and maintain related calendar invites and materials
  • Assist in creation of documents across Microsoft platforms (e.g., PowerPoint, Excel, Word)
  • Provide basic IT support/troubleshooting for the team
  • Prepare correspondence for mailing/distribution
  • Coordinate and handle all travel arrangements
  • Prepare expense reports and check requests
  • Process outside legal counsel invoices using TyMetrix e-billing system
  • Assist with preparation of materials for submission to EEOC and mediations
  • Assist with onboarding new team members
  • Assist with case and new legislation research
  • Maintain and organize files
  • Manage office spaces for the team, including files, pantry, snack and supply ordering
  • Draft form agreements including separation and settlement agreements
  • Prepare reports (e.g., quarterly case auditing and yearly tax reporting)
  • Assist in inputting information into our claims and investigations management system for metrics analysis
  • Perform other related duties to support the departmental team as assigned
