About The Position

New Orleans Restoration Properties (NORP) is seeking a highly organized, collaborative, and dependable person to join our New Orleans, LA office as a full-time Administrative Construction Operations Coordinator! You'll be at the center of our daily activities, supporting all departments in maintaining efficiency and productivity. This role goes beyond the typical clerical duties, as you'll provide high-level operational support to maintain streamlined workflows and efficient workdays. You'll tackle a variety of responsibilities, ranging from professional correspondence and record maintenance to task management and construction administration. Organization is vital, as you'll need to submit permits, licenses, insurance renewals, and other crucial documents for construction projects on time, as well as meet deadlines for multiple projects across different departments. As the bridge between internal teams and vendors, you'll support effective communication and help keep all departments on the same page. Working within Monday.com, you'll assign tasks to team members, follow up for completion, and efficiently coordinate daily workflows. You'll answer phone calls/emails, document communications, and send files to the correct departments. As for the construction administration duties, you'll maintain organized project files, ensure regulatory compliance for all projects, and help meet payroll requirements. You'll help prepare contracts, change orders, and other documents as needed, ensuring accuracy in all records. We're always aiming to improve, and you'll support this by using the Entrepreneurial Operating System (EOS) to monitor priorities and ensure departmental accountability. As directed by leadership, you'll help prepare meeting materials, assist with planning initiatives, coordinate calendars for scheduling, and help with other special projects. The Administrative Construction Operations Coordinator may also assist with retrieving mail from the post office, distributing documents, monitoring office supplies, and more. Requirements

  • 3+ years of administrative, operations, or construction administration experience
  • Experience using workflow management software and Google Workspace
  • Effective communication skills (written & verbal)
  • Ability to handle sensitive information with discretion
  • Strong attention to detail and organizational skills
  • Time management skills with the ability to effectively manage simultaneous priorities
  • Proactive problem-solving skills and the ability to follow up on tasks to ensure completion
  • Collaboration skills for working cross-departmentally
