About The Position

New Orleans Restoration Properties (NORP) is seeking a highly organized, collaborative, and dependable person to join our New Orleans, LA office as a full-time Administrative Construction Operations Coordinator! You'll be at the center of our daily activities, supporting all departments in maintaining efficiency and productivity. Requirements

  • 3+ years of administrative, operations, or construction administration experience
  • Experience using workflow management software and Google Workspace
  • Effective communication skills (written & verbal) and the ability to handle sensitive information with discretion
  • Strong attention to detail and organizational skills
  • Time management skills with the ability to effectively manage simultaneous priorities
  • Proactive problem-solving skills and the ability to follow up on tasks to ensure completion
  • Collaboration skills for working cross-departmentally
  • Ability to take ownership of your responsibilities and accountability for your results
  • Commitment to supporting continual improvement and growth initiatives
  • Ability to pass a background check and drug screening test

Nice To Haves

  • Experience in an industry like construction or real estate would be highly beneficial
  • Experience using Monday.com
  • Experience using AI platforms such as Claude or ChatGPT
  • Payroll experience is also a plus

Responsibilities

  • Provide high-level operational support to maintain streamlined workflows and efficient workdays.
  • Handle professional correspondence and record maintenance.
  • Manage task management and construction administration.
  • Submit permits, licenses, insurance renewals, and other crucial documents for construction projects on time.
  • Meet deadlines for multiple projects across different departments.
  • Act as the bridge between internal teams and vendors, supporting effective communication.
  • Assign tasks to team members, follow up for completion, and efficiently coordinate daily workflows using Monday.com.
  • Answer phone calls/emails, document communications, and send files to the correct departments.
  • Maintain organized project files.
  • Ensure regulatory compliance for all projects.
  • Help meet payroll requirements.
  • Prepare contracts, change orders, and other documents as needed, ensuring accuracy in all records.
  • Support continual improvement initiatives using the Entrepreneurial Operating System (EOS) to monitor priorities and ensure departmental accountability.
  • Prepare meeting materials as directed by leadership.
  • Assist with planning initiatives.
  • Coordinate calendars for scheduling.
  • Assist with other special projects.
  • Retrieve mail from the post office.
  • Distribute documents.
  • Monitor office supplies.
