About The Position

The Part-Time Administrative & Communications Associate provides support across administrative operations, communications, and program execution. This role ensures smooth coordination of meetings, events, and communications while supporting CAAIP’s digital presence and member engagement efforts. This position is ideal for a self-motivated, highly organized, detail-oriented individual who enjoys supporting mission-driven work and contributing to a small, but mighty, collaborative team comprised of the ED and the advisory committee.

Requirements

  • 1–2 years of experience in administrative support, communications, nonprofit operations, or a related field (internships and contract roles included).
  • Strong organizational and time-management skills with attention to detail.
  • Clear, professional written communication skills.
  • Comfort using digital tools such as Google Workspace, email marketing platforms, and social media.
  • Ability to work independently, manage multiple priorities, and meet deadlines.
  • Must be a U.S. Citizen or U.S. Resident with Authorization to Work

Nice To Haves

  • Interest in philanthropy, nonprofit work, and racial equity strongly preferred.
  • Experience with Mailchimp, Canva, WordPress (or similar content management systems).
  • Familiarity with membership-based or nonprofit organizations.
  • Chicago-based with interest in the local philanthropic or nonprofit ecosystem.

Responsibilities

  • Provide administrative assistance to the Executive Director, including support for scheduling meetings, event coordination, task coordination, and document management.
  • Take accurate notes during meetings and prepare concise summaries or follow-up materials as needed.
  • Maintain internal calendars for programs, meetings, deadlines, and communications.
  • Support basic data entry and recordkeeping related to membership, events, and outreach.
  • Support development and maintenance of a monthly newsletter and communications calendar.
  • Draft, format, and schedule newsletters and email communications.
  • Assist with website updates and basic maintenance, including posting events, announcements, and program updates.
  • Draft and schedule social media posts to promote programs, events, and organizational milestones.
  • Provide logistical and administrative support for all CAAIP programs and events, including member meetings, breakfast meetups, orientations, and special convenings.
  • Assist with RSVP tracking, materials preparation, and event coordination.
  • Support post-event follow-up including thank-you emails, attendance tracking, and documentation.
