About The Position

The Fraser Valley Aboriginal Child and Family Services Society (FVACFSS) is seeking an Administrative Clerk for a 6-month term position in Abbotsford. This role is part of the Administration Team and offers a salary range of $47,392.49 to $54,350.69 per annum for a 35-hour work week, with an EDO available on Thursday of Week 1. FVACFSS is an Indigenous Child & Family Service Agency dedicated to serving Indigenous children, youth, and families within Stó:lō Territory, focusing on strengthening culture, identity, and family bonds. The agency operates with a holistic approach, aiming to keep families together and reintegrate children with their families and extended families, always prioritizing the best interests of the family and the rights of children to heritage and identity.

Requirements

  • Grade 12 Graduation
  • Minimum of one-year related office/clerical experience
  • Demonstrated ability to use all Microsoft programs
  • Sound organizational skills, attention to detail, accuracy, ability to follow instructions, and analytical skills
  • Ability to multitask in a fast-paced work environment
  • Good verbal and written communication skills and ability to establish rapport with people of all educational and occupational backgrounds
  • Valid BC driver’s license required
  • Reliable transportation
  • Criminal records check required

  • Courses in Office Administration an asset
  • Obtaining the appropriate level of First Aid Certification for your base office would be an asset

Responsibilities

  • Performs general clerical duties and routine administrative-related tasks.
  • Maintains administrative filing and record keeping, including creating, combining, splitting, filing, and preparing files for closing, transfer, or off-site storage.
  • May require lifting up to 30 lb. of boxed files and moving file boxes regularly.
  • Performs data entry and typing.
  • Prepares and drafts routine email correspondence, administrative reports, and other communications.
  • Orders office supplies and equipment and maintains inventory, including COVID-19 PPE supplies.
  • Monitors and actions the ICM task list.
  • Provides general information assistance to staff, clients, and the public.
  • Shares duties to provide coverage for reception and multi-lined phones.
  • Greets, screens, and directs clients to appropriate office and agency for service.
  • Verifies identification for release of cheques, bus passes, tickets, and purchase authorizations.
  • Receives incoming calls, retrieves voice mail messages, responds to general inquiries, and takes messages.
  • Tracks agency assets such as cell phones, laptops, furniture, and other properties.
  • Assists with facility management, building maintenance, signage, and parking.
  • Manages security alarm systems, staff scan cards, and office keys.
  • Responsible for agency vehicle maintenance, repairs, and reports.
  • Completes monthly Visa reconciliations.
  • Assists with bookings for meeting rooms, equipment, hotels, and travel arrangements.
  • Assists with sign-in/out forms, keys, mileage records, repairs, and maintenance records.
  • Performs other tasks as assigned, including administrative staff back-up duties, petty cash and gift card reconciliations, and vacation/emergency relief at other office locations.
  • Ensures meeting rooms are clean and tidy after each meeting.
  • Makes arrangements for catering and/or purchase of food for meetings and/or visits.
  • Retrieves bus passes and gift cards from appropriate departments and files them at the front desk.
  • Files cheques at the front desk.
