Requirements

  • Work requires knowledge of basic grammar and mathematical principles normally equivalent to a high school education.
  • Work generally requires three months of clerical or general office support experience to become familiar with activities involved with providing routine clerical support.
  • Comprehension of oral and written instructions and ability to gather/sort verify information based on general instructions.
  • Communicate clearly and concisely by phone and e-mail.
  • Establish/maintain effective working relationships with employees and physicians.
  • Demonstrate flexibility with changing workload/assignments.
  • Ability to communicate effectively in person and in written form.
  • Substitute for absent team members by performing their work functions.
  • Proficient in Microsoft Word and Excel
  • Detail Oriented and well organized
  • Must be able to apply specific departmental policies rules and regulations relating to verifying patient information, collecting payments and maintaining records and forms.

Nice To Haves

  • Previous work history in a medical records department, medical practice, or translatable job experience preferred.
  • Experience with Maestro Care EMR preferred.
  • Customer service experience preferred.
  • Working knowledge of overall medical terminology, cardiology terminology, and Maestro Care computer software is preferred.

Responsibilities

  • Review clinic schedules and medical charts to determine if appropriate records are available for a new Cardiology patient visit. The records include clinic notes, surgical reports, holter and diagnostic reports, images, CT scans, MRIs, and EKG rhythm tracings, etc.
  • Process the provider/nurse inbasket medical record requests by requesting and obtaining the records from outside facilities.
  • Process, scan, and upload medical records from electronic and paper form.
  • Transcribe external referrals.
  • Attach referral packet to referral within Epic.
  • Request and upload medical images to Powershare or ISCV from outside facilities.
  • Clear fax box hourly, process and distribute to appropriate staff.
  • Contact patients and medical facilities for medical record information.
  • Create and mail image requests on a CD to patients and outside facilities.
  • Manage, send, sort and distribute clinic, provider and personnel mail.
  • Perform clerical duties in maintaining patient medical records that include compiling, sorting, filing, collating, copying, scanning, locating, verifying, completing, uploading and transporting confidential information in accordance with established procedures and regulations.
  • Review two outpatient Cardiology Clinic schedules and conduct a chart review for appropriate records for their upcoming appointments.
  • Contact patients and outside medical facilities to obtain outside records or images.
  • Complete medical records requests, information release, transcription (electronic release), reception, and Master Patient Index.
  • Check in/out patients for appointments, scheduling appointments and procedures, answering, directing or forwarding incoming phone calls for the medical practice when applicable.
