About The Position

Perform Properties, a Blackstone Real Estate portfolio company, is seeking an Administrative Business Partner to provide an anticipatory and high level of administrative and project support. This role will involve anticipating the needs of the team, resolving operational and administrative issues, and strategically supporting the team in a fast-paced environment. The Administrative Business Partner will leverage relationships to drive tasks, find answers, and improve workflows. This position requires a highly self-motivated professional with the ability to prioritize tasks, work under pressure, handle confidential matters with discretion, and adapt to a changing environment. This role is based in the New York office and requires a 5-day-a-week in-office presence.

Requirements

  • Excellent communication skills in written and oral communications; able to communicate effectively with individuals at all levels of the organization.
  • Strategic thinker who is able to frequently assess the “why” and tailor work product and communication as needed; escalate issues with potential solutions and pivot with changes.
  • Meticulous planner who is detailed in planning, execution and follow-up.
  • Four or more years of administrative support experience in real estate, consulting and/or financial services industries.
  • Advanced skills with Microsoft Excel, Word, PowerPoint required.
  • Excellent technical, interpersonal, and analytical skills required; utilization of previous file sharing and collaboration software to understand capabilities and leverage to get things done.
  • Works well as part of a team, takes ownership in projects, and works quickly and effectively under strict deadlines.
  • Proficiency with Teams, Zoom, Adobe Acrobat.
  • Ability to multitask in a fast-paced growth-oriented company.

Responsibilities

  • Provide administrative support to the EVP, Head of Leasing, and SVP, Leasing, including scheduling meetings, managing travel arrangements, and handling Outlook calendars.
  • Draft agendas, take meeting notes, and send out follow-up actions.
  • Keep executives informed of upcoming commitments and responsibilities, following up as needed.
  • Manage document execution using shared files, FedEx, and DocuSign.
  • Compile and submit expense reports for the management team.
  • Build a strong network of resources to quickly resolve administrative challenges.
  • Understand and standardize departmental administrative processes, establishing strong relationships with internal and external stakeholders.
  • Prepare first-level department reports, forms, and plans, utilizing Word, Excel, and PowerPoint.
  • Learn and potentially become a super-user or first-level administrator for department-specific software.
  • Assist department heads with budget understanding, invoice processing, and expense management.
  • Validate invoices, confirm coding, and submit for payment, troubleshooting and expediting as necessary.
  • Facilitate communication between executives and internal departments with thoughtfulness and discretion.
  • Organize company events such as team meetings, department events, and holiday parties.
  • Provide office management support, including ordering supplies, space planning, and access management.
  • Act as a point of contact for organizing tours.
  • Provide recommendations for hotels, meals, and activities in the New York area.
  • Support regional team members with administrative tasks and ad-hoc projects.
  • Perform miscellaneous data entry for various projects.
