About The Position

The Administrative Business Partner Associate is an administrative and operational support role embedded within a designated department or enterprise business unit. This position supports the consistent execution of departmental priorities by completing structured administrative tasks, maintaining documentation and tracking systems, coordinating routine workflows and providing dependable day-to-day support to department partners and leadership. The Associate works primarily within established processes, procedures and guidelines and receives direct supervision and guidance on assignments. The ideal candidate is organized, dependable, receptive to direction and comfortable learning new processes and tools. Successful candidate should demonstrate basic exposure to common business tools, a willingness to learn and the ability to apply feedback and instruction consistently. This position supports departmental initiatives and general operations through accurate documentation, effective communication, organization and reliable follow-through. As part of the Administrative Services function, the Associate collaborates with department partners and cross-functional teams while learning how administrative support contributes to broader departmental and organizational objectives. The Administrative Business Partner Associate will receive direct supervision and specific instruction on day-to-day work, new assignments and unfamiliar processes. The Associate is expected to ask questions when clarification is needed, follow established guidelines and progressively build the skills required to take on greater responsibility.

Requirements

  • Basic knowledge or exposure to administrative and clerical procedures such as word processing, file management, recordkeeping and general office practices
  • Beginner-level experience with Microsoft Office applications such as Excel, Word, Outlook, PowerPoint and Teams
  • Ability and willingness to learn new software, systems and administrative processes
  • Ability to follow written and verbal instructions and established procedures
  • Ability to receive feedback and apply direction to future assignments
  • Ability to complete assignments accurately with attention to detail

Responsibilities

  • Support established department workflows, schedules, deadlines and recurring administrative activities
  • Track assigned action items, tasks, deliverables and due dates using established tools and processes
  • Prepare, document and distribute routine meeting notes, action items and department updates using established templates
  • Assist with coordination of departmental initiatives by gathering information, updating trackers and completing assigned administrative tasks
  • Follow up on assigned items and communicate status to the appropriate manager or department partner
  • Escalate questions, missing information, delays or potential issues to the appropriate manager for guidance
  • Assist with preparation and maintenance of routine reports, dashboards, presentations and department documentation
  • Maintain organized electronic records and documentation according to established standards
  • Support department partners with recurring administrative and operational activities as assigned
  • Maintain and update department systems including rosters, intake forms, spreadsheets and tracking tools according to established procedures
  • Enter and update workforce information such as employee names, roles, program assignments and start and end dates
  • Review assigned records for missing or incomplete information and escalate discrepancies for review
  • Assist with maintaining accurate and organized department records
  • Support onboarding, training, compliance and workforce-readiness activities using established checklists and processes
  • Coordinate with HR, Administrative Services, Training and other internal teams as directed
  • Learn department-specific systems, workflows and documentation requirements
  • Assist with travel arrangements and logistics for leadership and department activities using approved processes and guidelines
  • Maintain travel, hotel, vendor and department reference information
  • Assist with expense and timesheet-related administrative activities
  • Support coordination of internal meetings, events and department activities
  • Assist with calendar management and scheduling of internal and external meetings
  • Provide general administrative support to department partners as assigned
  • Use Microsoft Office and other approved business tools to complete routine administrative assignments
  • Develop proficiency in Excel, Word, Outlook, PowerPoint, Teams, SharePoint and other department systems through training and practical use
  • Use approved AI-enabled and digital tools to assist with drafting, organization, documentation and routine administrative work
  • Follow established processes for using technology and maintaining accurate information
  • Participate in training on new systems, applications and digital tools
  • Identify routine administrative challenges and raise them to the appropriate manager or department partner
  • Demonstrate willingness to learn new technologies and progressively improve efficiency
  • Complete assigned tasks and deliverables on time and on budget.
  • Perform other related duties as assigned.
