About The Position

The Administrative Bailiff will operate under the guidance of the Judge/Magistrate and will be essential in facilitating the efficient functioning of courtroom proceedings and will assist the Judge/Magistrate in their administrative duties, and scheduling of meetings and court hearings. This role demands an individual who is initiative-driven, highly skilled in administrative duties, and is able to multi-task efficiently and processes advanced technical capabilities—all while displaying outstanding customer service while thriving in a dynamic atmosphere.

Responsibilities

  • Serves as bailiff during court sessions, ensuring order and decorum in the courtroom and timeliness of proceedings
  • Manages all facets of courtroom operations, making certain all parties are present for in-person or virtual hearings, testing and utilizing audio/visual equipment, preparing physical case files; and ensuring all necessary documentation is prepared accurately and is easily available
  • Performs a variety of administrative tasks, such as scheduling hearings with advance technologies and with multiple means, maintaining calendars, and preparing and reviewing documents to support the court’s operations; mostly comprised of specialized dockets and juvenile matters
  • Prepares and maintains accurate records, including entries, tracking, compliance, and other legal documents, ensuring compliance with legal standards and confidentiality requirements
  • Completes purchase and reimbursement requests, make travel arrangements, and plan for outings
  • Assists in maintaining data for court programing when required
  • Retrieves physical records from storage facility and return of same
  • Performs any other special duties as required
  • Provides exceptional service to court visitors, including attorneys, witnesses, and the public, by answering inquiries, providing information about court procedures, and directing individuals to appropriate resources
  • Fosters a welcoming and respectful environment for all individuals entering the court, particularly youth and families involved in juvenile cases
  • Works closely with court personnel, including judges, magistrates, attorneys, and social workers, to facilitate effective communication and coordination of services related to juvenile/probate cases.
  • Participates in team meetings and contribute to discussions on improving court processes and services.
  • Utilizes court management software and other technology tools to streamline processes, manage case information, and enhance overall efficiency.
  • Stays updated on technological advancements that can improve courtroom operations and administrative functions.
  • Stays informed about changes in juvenile law and court procedures and actively participate in training and professional development opportunities to enhance skills and knowledge.
  • Identifies areas for improvement in courtroom operations and suggest solutions to enhance efficiency and service delivery.
