The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The centers provide campus-based direct services and supports at 13 centers located throughout the state. The Food Service Administrative Assistant is responsible for inventory, meat processing, lead person for the stockroom, and supplies. Performs complex (journey-level) clerical work. Work involves compiling and tabulating data, checking documents for accuracy, transporting documents and/or stock and inventory, and maintaining files. Works under general supervision, with limited latitude for the use of initiative and independent judgment. Maintain a high standard of sanitation in the storage area. Provides information/reports to supervisor on request. Assist with requisition procedures. May be required to work variable schedule.

Requirements

  • Knowledge of office procedures; of spelling, punctuation, grammar, and arithmetic; of business or program terminology, methods, and procedures; of warehousing procedures; of state purchasing policies and procedures; and of records administration and maintenance techniques and procedures.
  • Must be physically capable of routinely bending to lift and move items up to 50 pounds.
  • Must be able to operate machinery for moving stock items
  • Must be able to receive, count, and verify incoming orders.
  • Must be able to distribute products or materials to co-workers.
  • Must be able to work quickly and accurately in a complex, fast-moving environment.
  • Skill in the use of computers and office equipment.
  • Ability to prepare and maintain records, files, and reports; to transfer stock from one location to another; to make arithmetic computations; and to communicate effectively.
  • Ability to be detail orientated.
  • Ability to anticipate needs and take initiative.
  • Ability to maintain confidentiality.
  • Ability to read, write and understand English.
  • Ability to communicate effectively and carry out verbal and written instructions.
  • Ability to work effectively with others, as a member of a team, and accept supervision.
  • Graduation from a standard senior high school or equivalent is generally preferred. Experience and education may be substituted for one another on a year for year basis.
  • Experience in food service or related work.
  • Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE).
  • Males between the ages of 18 – 25 must be registered with the Selective Service.
  • All State Supported Living Center Employees are subject to Random Drug Testing.
  • All applicants must be at least 18 years of age to be considered for employment at a state-operated facility.

Responsibilities

  • Accept delivered packages and ensure proper amount is inside.
  • Unload merchandise.
  • Mark items with Dates
  • Ensure label is clear and visible.
  • Keep records of inventory.
  • Prepare merchandise for shipment.
  • Replenish inventory.
  • Replace damaged or missing products.
  • Operate forklift to lift or place merchandise.
  • Work with Production Manager on inventory and orders.
  • Follows proper food handling in accordance to food service procedures, state, federal and HACCP guidelines.
  • May be required to receive delivery of food and supplies from vendors.
  • Follows procedures for sanitation and storage of the dishes and food service equipment.
  • Follows required sanitation procedures for cleaning kitchen, stock room, food preparation areas, and satellite areas.
  • Observes safety procedures and practices.
  • Maintains work areas in a sanitary and organized manner.
  • When required, answer telephone promptly and transmit messages in a clear, concise, and positive manner.
  • Completes required training per policy.
  • Proofs correspondence, reports, purchase orders, summaries, manuals, vouchers, records, and other related forms.
  • Answers inquiries regarding policies and procedures, assists the public and staff in filling out forms, and provides information to the public by mail or phone.
  • Reviews, compiles, organizes, and tabulates data; performs calculations; and prepares charts, graphs, and tables.
  • Maintains files, materials, reports, and supplies.
  • Opens, sorts, and distributes incoming mail; prepares mail-outs; processes outgoing mail; and maintains records on postage, registered mail, and packages.
  • Prepares documents for data entry and enters data into database.
  • Delivers, picks up, or receives documents, supplies, mail, equipment, or materials; checks for quantity and quality; or makes arrangements for repairs and services.
  • May maintain office schedules and appointments and perform backup receptionist or telephone switchboard duties.
  • May arrange the scheduling, transfer, and display of surplus property; and may conduct physical inventory.
  • Performs related work as assigned.
  • Actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
