About The Position

The Administrative Associate for Online Learning assists the Associate Vice President (AVP) for Academic Administration with the various tasks related to Online Learning. The online learning office assists with all online education for Southwestern, so a suitable candidate should be familiar with higher education, best practices for online education, and proficient and knowledgeable as to the latest relevant technology. The candidate should be detail-oriented, organized, an excellent communicator, have an eye for design, teachable and a team player.

Requirements

  • Proficiency in general computer application technologies (Microsoft Office, Adobe Acrobat Pro, MS SharePoint, MS Stream, WEAVE) and knowledge of technical aspects of videography and video software (Camtasia, OBS Studio).
  • Previous best practices experience of course design in Learning Management Systems (LMS), such as Canvas.
  • Effective navigation and usage of organization systems, policies, and procedures to achieve goals and performance expectations.
  • Strong work ethic and initiative; ability to operate with minimal supervision.
  • Exhibit a humble, patient, and collaborative spirit, to create a healthy and vibrant work culture.

Nice To Haves

  • A bachelor’s degree in administration, communications, education, or a related field is preferred.
  • Ability to clearly and simply articulate the value propositions of SWBTS.
  • Strong organizational skills and attention to detail, with the ability to effectively manage multiple tasks and deadlines related to course scheduling on a semester basis.
  • Ability to critically think, solve problems, and provide solutions to department inquiries.
  • Exemplary social skills with an ability to ensure considerate interactions with all members of faculty and staff; demonstrating appreciation for interacting with a diverse group of people from all backgrounds and age groups.

Responsibilities

  • Maintains the Online Learning office and reception area.
  • Trains teaching assistants on online learning protocols and coordinates teaching assistants for faculty for each semester.
  • Trains and assist Faculty and/or teaching assistant and CA with Canvas course design and serve in course designer role, as needed.
  • Onboards, trains, and coordinates with Course Designers, as needed.
  • Oversees Canvas course quality control and record, edit, and upload video course content (optional).
  • Organizes Logos Textbook requests for faculty and coordinates with Logos and Campus Technology to integrate Logos textbooks into courses.
  • Manages Logos communication plan and scheduling as determined by the AVP for Academic Administration.
  • Assists in taking minutes for Online Learning meetings.
  • Coordinates scheduling of recording studio per institutional policies.
  • Performs other related duties as assigned and specific to area of responsibility.
  • Manage Teaching Assistant timekeeping, expectations, training and reconciliation.
