About The Position

The Administrative Associate III, under supervision, performs entry-level administrative support work for the Department of Literature & Languages.

Requirements

  • High school diploma or equivalent combination of education and experience.
  • Three years of experience.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Effective verbal and written communication skills.
  • Ability to multitask and work cooperatively with others.

  • Prior experience working in higher education.
  • Prior experience with Concur, FAMIS/Canopy, Workday, Banner, and Mane Market/Aggie Buy.

Responsibilities

  • Greets visitors, answers and screens calls, provides general information and referrals, and schedules appointments.
  • Receives, sorts, and routes mail and performs other mail services.
  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.
  • Posts information to agency records and modifies forms or records.
  • Performs data entry and retrieval and maintains data files.
  • Prepares and proofs materials for reports and other publications.
  • Prepares, modifies, and verifies documents.
  • Maintains office supplies and equipment.
  • Maintains office reference materials including online office materials.
  • Makes purchases on behalf of the department.
  • May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.
  • Performs word processing, desktop publishing, presentation, and data management activities, and assists faculty/staff with the use of these applications.
  • Composes correspondence, reports, publications, and presentations, including editing and proofreading.
  • Makes arrangements for meetings, appointments, conferences, and travel; coordinates or assists with the coordination of departmental events.
  • May serve as a liaison for departmental equipment and service contracts.
  • May participate in the hiring training, and supervision of student workers and other support staff.
  • Monitors project timelines.
  • Adapts, combines, and makes improvements to services, processes, and programs.
  • Serves as a resource for all students throughout the application, enrollment, and matriculation process.
  • Prepares and updates class schedules, workload and reassigned time reports.
  • Works with the Department Head and area coordinators for daily direction.
  • Collaborates with other departments and offices within the College of Humanities, Social Sciences, and Arts and within ETAMU overall as needed.
