About The Position

Manage incoming and outgoing correspondence, maintain organized filing systems, and monitor office supply inventory. Prepare, update, and file reports, spreadsheets, and compliance documentation. Provide administrative support to the Operations Manager and assist with assigned tasks. Respond to inquiries and coordinate communication with vendors. Maintain office organization and ensure all equipment is operational. Coordinate and place phone calls with contractors and engineers. Assist in developing and maintaining weekly work schedules. Complete and submit state-required paperwork, including certifications and proposed schedules. Track material inventory for active jobs and monitor available stock. Print project plans and distribute job notes to employees for upcoming work. Collect daily production reports (DPRs) and scale tickets, and submit them to the Department of Transportation (DOT) and engineers.

Requirements

  • High school diploma or equivalent required
  • 2+ years of administrative or office support experience is preferred
  • Familiarity with office management systems and basic accounting principles
  • Strong communication and proficiency in Microsoft Office Suite
  • Excellent organization and attention to detail
  • Manage multiple deadlines and maintain confidentiality
  • Work both independently and collaboratively
  • Strictly follows safety policies, rules, and safe work methods
  • Promptly corrects or reports safety hazards or unsafe conditions
  • Promptly reports injuries for diagnosis and treatment
  • Makes regular suggestions for safety process improvements to support continuous improvement in safety

Nice To Haves

  • an associate degree is a plus
  • preferably in the construction or pavement marking industries
