About The Position

One Medical is seeking a Member Support Specialist (Administrative Assistant) to serve as an ambassador for patients in office. This role requires mastery of human connection and a strong drive for service to remove barriers to care and ensure an exceptional in-office patient experience. The individual will be responsible for maintaining the office lobby's appearance to align with the One Medical brand, acting as the first point of contact for patient feedback, and providing support as requested by the Practice Coordinator, Operations Manager, or in-office providers. The role demands a strong team player with innovative problem-solving skills, excellent verbal and written communication, and the ability to identify opportunities and deliver customer-centric solutions with empathy, focus, and compassion. Self-awareness, a focus on feedback and growth, and nimbleness in responding to patient and team needs are essential. The position requires an unwavering drive to help and serve others, creating positive experiences for members and teammates.

Requirements

  • At least 1 year of experience in high-touch customer or patient-facing roles.
  • Strong written and verbal communication skills.
  • Experience working on collaborative, diverse, and feedback-driven multi-disciplinary teams.
  • A proven track record of persisting through change, demonstrating a forward-thinking perspective when under pressure, and consistently stepping up to take action on challenges.
  • Proficiency in computer technology such as typing, navigating the internet, and using multiple software systems simultaneously.

Responsibilities

  • Use C-I-CARE framework in all patient interactions to ensure a fluid and positive in-office experience through patient intake, same-day schedule management, appropriate follow-up scheduling, strong knowledge of billing and insurance, monitoring patient feedback, and assisting with outreach.
  • Perform all front-of-house duties including check-in/check-out, insurance verification, paperwork tasks, prepping tests, and tasking to service level expectations.
  • Contribute to team development through rounding, attending team huddles, participating in team problem-solving, and supporting in-office providers with ad hoc requests.
  • Master the technology suite including Slack, G-suite, Zoom, and the Electronic Medical Record System (1Life) for team and patient interactions and daily tasks.
  • Perform opening and closing duties and daily office upkeep, including maintaining the appearance of patient and employee-facing spaces, restocking supplies, and organization.
