About The Position

The Administrative Assistant initiates, coordinates, and executes administrative support to staff and customers at reporting location and all other Five Star Cooperative locations. This position provides exceptional customer service while supporting the daily operations of the grain department through scale operations, grain accounting, and administrative functions. This position is responsible for accurately processing inbound and outbound grain transactions, maintaining grain records, and ensuring all documentation is completed accurately and timely. Additional duties may include, but are not limited to, maintaining detailed recordkeeping related to payments, grain settlements, contracts, billing, inventory and other required reporting. The incumbent will sample and accurately grade all incoming and outgoing grain to assure accurate pricing. The Administrative Assistant will maintain a safe and clean environment. The incumbent maintains efficiency in a manner that will optimize the cooperative’s market share and savings, improve the cooperative’s efficiency, help achieve the cooperative’s mission and goals, and result in outstanding customer service. This position will maintain a positive attitude that promotes teamwork within the cooperative and always upholds a favorable image of Five Star Cooperative.

Requirements

  • High School Diploma required
  • Fluent reading, writing, and speaking the English language
  • Strong written and verbal communication skills necessary
  • Computer skills required – Proficient in Microsoft Word and Excel
  • Good customer service skills and approach necessary
  • Valid driver’s license
  • Certification to Grade Grain or ability to obtain.

Responsibilities

  • Weigh, sample, and grade all incoming and outgoing grain according to specifications provided
  • Supports seasonal harvest activities with extended-hour administrative tasks as required
  • Assists with billing, contracts, recordkeeping and filing for various departments
  • Maintains an accurate inventory of all parts and products at the location
  • Enforce and uphold the cooperative’s credit policy
  • Good communication with all employees and customers
  • Enforce and abide by all cooperative policies
  • Assists with recordkeeping and filing needs
  • Perform other duties as assigned by management - the employee’s duties may change according to the changing needs of the company
