About The Position

Under the direction of the Planning Supervisor, or designee, this role performs a variety of work in a wide range of areas, demonstrating strong ethical, professional, and service-oriented customer service. Responsibilities include providing complex administrative activities, supporting office administration, project management, code compliance, written correspondence, document management, and coordination of activities.

Requirements

  • High school diploma or GED certificate
  • Valid Driver's License
  • Two (2) to three (3) years of office or related experience with a strong emphasis on performing work correctly and meeting deadlines
  • Intermediate to advanced computer skills using M/S Office applications
  • Must be able to pass a pre-employment drug test
  • Skill to read and write in proper English
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, and governmental regulations
  • Skill to write reports and business correspondence
  • Ability to logically and effectively present information both orally and in writing and respond to questions from groups of managers, clients, customers, the County Commission and the general public
  • Knowledge of applicable Federal, State, County and municipal laws, codes, ordinances, rules and regulations pertaining to code compliance and land use
  • Knowledge of office and field rules, practices and procedures and enforcement thereof
  • Knowledge of standard computer software for word processing, spreadsheets, and presentations
  • Ability to read and interpret plans, blueprints, maps, charts, graphs, plats and land descriptions
  • Ability to read, copy, transfer and file information with high accuracy and clarity
  • Ability to work as a team player and be willing to deliver superior customer service to both internal and external customers
  • Able to receive and convey telephone and oral messages to other personnel and be courteous to the public
  • Able to maintain confidentiality and refrain from discussion, disclosure or personal use of any information as required by statutory requirements and County policies
  • Ability to sort, alphabetize, file and/or distribute written material
  • Ability to enter and record information quickly, maintaining concentration, speed and accuracy with frequent interruptions
  • Ensures compliance with applicable safety regulations and administrative policies
  • Able to pass a pre-employment drug screen

Responsibilities

  • Assists the Planning Supervisor and Code Compliance with documenting citizen complaints.
  • Establishes priorities and monitors cases to maintain a balanced workload, ensuring compliance deadlines are met.
  • Conducts office duties including department asset management, land use ordinance management, code violations, and illegal dump sites.
  • Processes inter-departmental applications.
  • Works collaboratively with other departments, groups, businesses, and organizations to improve community knowledge and appearance.
  • Compiles code compliance data to keep the department updated.
  • Assists the Department with drafting, proofreading, filing, and editing cases, correspondence, and other documents.
  • Responsible for daily cash deposits with the Luna County Treasurer and must be able to reconcile.
  • Provides information to citizens regarding County roads, highways, and Planning Department duties and responsibilities, including County codes, Ordinances, and processes.
  • Creates requisitions, purchase orders, and pays monthly billing in coordination with Purchasing and Accounts Payable.
  • Assists the Department with drafting, proofreading, filing, and editing work orders and tracking them to ensure completion.
  • Manages all correspondence and other documents.
  • Attends to customers telephonically, in the office, and in the field at all County Facilities.
  • Responsible for the rental agreements for facilities.
  • Ensures customers are knowledgeable with facility procedures and performs walkthroughs as necessary.
  • Performs walkthroughs before and after rental dates to ensure compliance with rental agreements.
  • Maintains knowledge of current Federal, State, and local rules and regulations through seminars, professional publications, classes, and development activities.
  • Demonstrates continuous efforts to improve operations, decrease turnaround times, streamline work processes, and work cooperatively to provide quality seamless customer service.
