About The Position

We are looking for an Administrative Assistant who combines strong organizational and communication skills with the ability to thrive in a fast-paced professional environment. In this role, you will support daily office operations through client communications, document management, workflow coordination, and a variety of administrative responsibilities that help deliver exceptional client service. You will work closely with team members across multiple departments while utilizing Microsoft Office applications and other firm technologies to maintain accuracy, efficiency, and seamless operations. The ideal candidate is detail-oriented, adaptable, and comfortable learning new technology while managing multiple priorities and deadlines. This full-time position is based in our Hagerstown office and offers meaningful opportunities to build professional skills, develop strong working relationships, and grow your career with SEK. Additional hours are required during our busy season from January through April, including Saturday mornings (8:00 a.m. to 12:00 p.m.) as needed to meet client and business demands.

Requirements

  • 3+ years of administrative experience in a professional office
  • Customer service experience (phone and in-person).
  • Superior Microsoft Office (Word, Excel, Outlook) and Adobe PDF skills.
  • Comfortable learning and navigating new technologies and systems.
  • Strong attention to detail, organization, and communication skills.
  • Ability to work independently and handle confidential information professionally.
  • Experience handling phone lines in a fast paced environment.

Nice To Haves

  • Experience integrating Microsoft Word and Excel is preferred.

Responsibilities

  • Maintain and manage firm records, both physical and digital, including organizing, archiving, and purging files.
  • Utilize scanning and document management software to process tax filings and support electronic workflows.
  • Assist with the preparation of financial statements and client correspondence with a focus on accuracy and presentation.
  • Provide front-desk support as needed, including answering multi-line phone systems, greeting clients, and managing inquiries.
  • Prepare and distribute tax organizers, both in print and electronically.
  • Assemble client deliverables efficiently in both paper and digital formats.
  • Collect, and process client-submitted documents, internal expense reports, and bank deposits.
  • Manage daily mail intake, distribution, and outgoing deliveries.
  • Monitor and replenish office and break room supplies, placing orders as needed.
  • Uphold confidentiality standards and adhere to firm procedures for data security and compliance.
  • Perform additional administrative duties to support internal teams and client service as assigned.
