About The Position

We are seeking an Administrative Assistant to join our team. The Administrative Assistant serves in a strategic function at Buckner Children and Family Services (BFCS) to support the Senior Director of Administration and Operations in day-to-day administrative activities. Collaborate with the Regional Office Managers and the Network of administrative professionals in guiding administrative responsibilities and serve as a resource to all Texas regions. Requirements

  • A high school diploma (or G.E.D.) is required to perform essential job functions.
  • Minimum 5 years of prior related experience required.
  • Requires proficient ability to speak, read, and write English professionally.
  • Excellent professional business contract negotiation skills.
  • Requires in-depth ability to plan, administer, and report budgets.
  • Proficient working knowledge of project planning and budgetary management required.
  • Requires excellent communication and presentation skills.
  • Working knowledge and ability to accurately and timely operate and perform computer-related tasks with specific equipment and software applications, including Microsoft Word, Excel, PowerPoint, and Outlook, required.
  • Requires the ability to travel to various geographic locations and some overnight stays.
  • Requires the ability to obtain and maintain the necessary documentation to travel.
  • Requires the job holder to work nights and weekends as needed to meet business needs.
  • Requires the ability to drive assigned vehicle(s) or personal vehicle, with appropriate state license, following all laws applicable; must provide proof of liability insurance and must be eligible to be insured under Buckner’s insurance policy. Must be age 21 or older to drive on behalf of Buckner.
  • Requires the ability to use up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force continuously to move objects and/or people.
  • Requires the ability to walk, stand, and sit, sometimes for prolonged periods of time.

Nice To Haves

  • Bachelor’s Degree in a related field preferred.
  • Certification in project management preferred.
  • Ability to speak, read, and write Spanish preferred.

Responsibilities

  • Provide administrative support to the Senior Executive Director.
  • Independently manage tasks and projects; research, analyze data, produce monthly reports, and assist with budget preparation and reporting as assigned and required.
  • Serve as liaison between the Senior Executive Director and other personnel.
  • Effectively handle all types of communication, including internal and external constituents; provide support for correspondence.
  • Effectively coordinate and provide logistical support for meetings as assigned by the Senior Executive Director and/or other designated staff.
  • Attend meetings at various geographic locations to assist with location and event needs.
  • Effectively administer calls and requests for meetings and information from the Senior Executive Director’s office.
  • Effectively maintain database information for the Senior Executive Director’s contacts by updating his/her electronic contact list accurately and in a timely manner.
  • Maintain a calendar for the Senior Executive Director and other designated staff. Track appointments and other events. Maintain Network calendars for the Executive Director and Administrative Professional networks.
  • Plan, schedule, and organize all aspects of domestic and international travel for the Senior Executive Director and other staff as directed.
  • Accurately and timely complete documentation and communication to register the Senior Executive Director and other designated staff for various meetings and conferences as directed.
  • Accurately and timely prepare, audit, and process invoices for payment.
  • Leads the planning and execution of the annual BCFS Administrative Professionals Network Retreat, overseeing all aspects of end-to-end, large-scale event coordination.
  • Serve as Vice Chair of the BCFS Administration Support Professionals Steering Committee and collaborate with the Chair to align BCFS statewide administrative operations with the organization’s strategic plan and initiatives from the President’s Office.
