About The Position

At Tree Trust, we focus on transforming lives and landscapes through three divisions: Career Pathways, Community Forestry, and Landscape Services. This position is located in our Landscape Services division, which offers professional tree care and landscaping services at market rates, with the profits supporting other Tree Trust programs. These programs include green industry skills and employment-readiness training for youth and young adults, and Twin Cities urban canopy restoration initiatives. From simple projects to complex designs, Landscape Services has the experience to complete tree and landscape projects to the highest standards – on time and on budget. An excellent administrative assistant is key to the success of our thriving business. You will be professionally challenged by performing a wide range of administrative activities for managers in our Landscape Services department. We are looking for an individual with initiative and creativity to develop and grow this position.

Requirements

  • High School Diploma or equivalent is required.
  • One – two years of administrative support experience to include customer service and data entry.
  • Excellent organizational skills and the ability to manage multiple projects.
  • Strong verbal communication skills with customers, clients, and staff.
  • Ability to prioritize tasks while being thorough and detail oriented.
  • Ability to take work direction from multiple managers.
  • Ability to use analytical thinking to make decisions.
  • Advanced knowledge of Microsoft Office software.
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Ability and willingness to demonstrate Tree Trust’s core values of Professional, Integrity, Commitment, Resilient, and Stewardship and Landscape Services additional values Accountability and Humility.
  • Current driver’s license and a clean driving record as determined by Tree Trust’s insurance carrier.
  • Must be able to pass a criminal background check.

Responsibilities

  • Provide excellent customer service answering and routing phone calls, acting as the initial point of contact, responding to and forwarding emails, and diplomatically managing public inquiries.
  • Communicate tree care schedule to customers.
  • Manage office space and equipment, including office organization, light cleaning duties, and ordering supplies.
  • Schedule employee attendance for continuing education workshops and certification testing.
  • Document workflow for a variety of tasks using process mapping.
  • Schedule sales arborist’s customer visits.
  • Manage the tree care schedule by collaborating with the tree care production manager and the sales arborists.
  • Send schedule updates to customers.
  • Review staff data entries for timekeeping and equipment use to ensure accuracy.
  • Update materials, vendors, subcontractor, and equipment data in estimating and timesheet software.
  • Run data reports from estimating and time sheet software.
  • Track personnel information including PPE (personal protective equipment) allocations.
