About The Position

The Administrative Assistant will provide shared support for a department or team and be responsible for performing an array of administrative functions requiring a high degree of confidentiality, and should demonstrate experience in handling the administrative and executive support related tasks with minimal supervision. It is crucial to this role to have the ability to interact with staff at all levels in a fast-paced environment, and remain flexible, proactive, resourceful, and efficient with a high level of professionalism.

Requirements

  • 1-2 years of administrative level support experience required
  • In-depth knowledge of office management systems and procedures required
  • Leadership skills
  • Strong customer service orientation and a desire to see others succeed
  • Ability to exercise good judgment in a variety of situations
  • Ability to solve problems and think quickly under pressure to meet deadlines
  • Excellent oral and written communication skills
  • Highly organized and detail oriented; ability to follow processes
  • Demonstrated poise, tact, and diplomacy
  • Proactive and assertive approach to managing tasks and responsibilities.
  • Proficient in advanced use of Microsoft Word, Excel, PowerPoint, and Outlook

Responsibilities

  • Enhance department or team effectiveness by providing information management support, representing the stakeholders to others
  • Provide support including e-mail and writing support, phone support, and calendar management
  • Coordinate and facilitate large meetings among many stakeholders
  • Represents the company by welcoming visitors, reviewing correspondence; answering questions and meeting requests directed to the company’s executives
  • Provides office event support by planning and coordinating company dinners, employee events, and other corporate functions
  • Serves as a regular backup for the front desk, greeting visitors and handling reception duties as needed
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans
  • Enhances the corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
