About The Position

Janicki Industries is an innovative, family-owned aerospace company located at the foot of the Cascades. We focus on engineering and manufacturing complex projects for companies in the aerospace, defense, and space industries. We are looking for an Administrative Assistant to join our growing team. This position is located on-site in Sedro-Woolley, Washington State. The Administrative Assistant provides administrative support and ensures the efficient operation of the office. This role involves a variety of tasks, including clerical, organizational, and customer service duties, to ensure smooth office functioning. The ideal candidate will be detail-oriented, have strong organizational skills, and possess the ability to multitask in a fast-paced environment.

Requirements

  • Minimum requirement for all positions is a high school diploma or GED
  • Must have excellent communication skills (written and verbal) and the ability to interact positively with a variety of internal and external constituents
  • Must have strong computer skills
  • Must have effective verbal and written communication skills in the English language
  • Due to our ITAR and EAR regulations, applicants must be a US Citizen or of Legal Permanent Resident Status as defined by 8 U.S.C. 1324b (a) (3).

Responsibilities

  • Assist with general office management tasks such as filing, data entry, and managing office supplies.
  • Maintain and update office documents, both physical and electronic.
  • Coordinate schedules, meetings, and appointments.
  • Organize and manage office calendars, events, and meetings.
  • Organizes travel accommodations including flights, housing, property management, rentals cars, per diem, offsite pay, etc.
  • Take responsibility for corporate credit card, including monthly reconciliation
  • Manage timecards; reports, edits, perform data entry of operation vacation hours.
  • Manage Help Tickets: assisting with employee requests via a ticketing system from tracking purposes
  • Greet visitors and customers in a professional and friendly manner.
  • Answer and direct phone calls, take messages, and respond to inquiries.
  • Handle inquiries and resolve issues in a timely manner.
  • Manage office supplies, ensuring inventory is stocked and placed orders as needed.
  • Maintain a clean and organized office space.
  • Sort and distribute incoming mail and packages.
  • Perform routine clerical duties such as scanning, filing, and copying documents.
  • Update databases, spreadsheets, and other records as required.
