About The Position

The Department of Citywide Administrative Services (DCAS) aims to enhance city government functionality for all New Yorkers. DCAS manages iconic city courthouses and municipal buildings, and procures over $1 billion annually in goods and services for more than 80 city agencies, ensuring their operational success. The Real Estate Services (RES) division within DCAS provides essential real estate support to city governmental operations, managing 37 million square feet of property, handling acquisitions and dispositions, and offering architectural design, space planning, project management, and financial analysis services. The RES Financial Services team specifically focuses on property valuations, lease administration, revenue and financial analysis, lease audits, and budget and lease enforcement. This new Administrative Assistant role will be crucial in coordinating projects, reports, and communications across the five Financial Services teams, with a primary focus on supporting the Property Valuations, Lease Administration, and Lease Audit teams.

Requirements

  • Must be currently serving permanently in the title of Principal Administrative Associate or reachable on the Principal Administrative Associate civil service list.
  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in '1' above; or
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in '1' above; or
  • Education and/or experience equivalent to '1', '2', or '3' above. However, all candidates must possess the one year of administrative or supervisory experience as described in '1' above.
  • Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in '1' above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

Responsibilities

  • Coordinate workflows for the Property Valuations, Lease Administration, and Lease Audit teams.
  • Coordinate all appraisal requests between clients, the appraisal management system (IPIS), the internal team, and external appraisal vendors for the Property Valuations team.
  • Assist with lease registrations and commercial lease payments on an as-needed basis for the Lease Administration team.
  • Coordinate communications between Lease Audit, landlords, tenant agencies, and other stakeholders for the Lease Audit team.
  • Research materials, including public records, to collect data and information regarding transactions related to real property.
  • Research and collect current and historical information and data for reports prepared by the Financial Services team.
  • Research information pertinent to overall market conditions of all types of real property.
  • Obtain source materials through research, records examination, published materials, or personal interviews.
  • Interface with architects, surveyors, real estate appraisers, brokers, property owners, building managers, banks, engineers, builders, attorneys, local preservation units, government agencies, landlords, and tenants.
