As an Administrative Assistant, you will provide administrative support to the team in a number of areas including scheduling meetings and conference calls, booking travel, ordering supplies, and additional duties as outlined below. Responsibilities

  • Assist in planning and executing catering events, including meetings, receptions, and VIP functions
  • Oversee event setup, service, and breakdown to ensure smooth operations
  • Ensure food presentation meets company standards and client expectations
  • Coordinate timing of food delivery and service
  • Supervise catering staff during events, including servers, bartenders, and attendants
  • Assign roles and provide on-site direction to staff
  • Support training efforts and reinforce service standards
  • Address and resolve service-related issues in real time
  • Serve as the primary point of contact for clients during events
  • Communicate event details, timing, and any changes as needed
  • Coordinate with external vendors, including rentals and specialty food providers
  • Ensure proper handling of dietary restrictions and special requests
  • Assist with menu planning and proposal development
  • Manage event orders, BEOs, and overall logistics
  • Track inventory, rentals, and equipment needs
  • Support billing, invoicing, and cost tracking (as applicable)
  • Ensure compliance with food safety and sanitation standards
  • Maintain cleanliness, organization, and presentation of event spaces
  • Monitor portion control and consistency of service
