About The Position

We are seeking a highly organized and dependable Administrative Assistant to support our water treatment operations within the oil and gas industry. This role is essential to ensuring smooth day-to-day operations by coordinating logistics, managing communications, and supporting field personnel across multiple operating regions, including the Permian Basin, New Mexico, and Ohio. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can effectively manage multiple priorities while providing outstanding customer service to both internal teams and external vendors.

Requirements

  • High school diploma or GED required
  • 2+ years of administrative or office support experience, preferably in the oil and gas, industrial, construction, or transportation industries.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Outlook, Excel, Word).
  • Ability to work independently while managing multiple priorities in a fast-paced environment.
  • Strong attention to detail and problem-solving abilities.

Nice To Haves

  • associate degree preferred
  • Experience processing purchase orders and coordinating with vendors is preferred.
  • Familiarity with oilfield operations or water treatment services.
  • Experience coordinating travel and lodging for field crews.
  • Knowledge of purchasing, inventory management, or accounts payable processes.
  • Experience working with ERP or purchasing software is a plus.

Responsibilities

  • Answer and direct incoming phone calls professionally and efficiently.
  • Coordinate and book hotel accommodations and travel arrangements for field personnel.
  • Process purchase orders and coordinate the procurement of supplies, equipment, and materials.
  • Work closely with vendors and suppliers to ensure timely delivery of materials to active job sites.
  • Support field operations in the Permian Basin, New Mexico, and Ohio by coordinating logistics for work orders as they arise.
  • Maintain accurate records of purchase orders, invoices, lodging reservations, and vendor communications.
  • Assist with scheduling, document management, and general administrative support.
  • Monitor office supply inventory and place replenishment orders as needed.
  • Communicate effectively with field supervisors, operations managers, customers, and vendors.
  • Perform additional administrative duties as assigned to support business operations.
