About The Position

Reporting to the Plant Manager, this position serves as a Temporary Administrative Assistant for the facility. This role also provides support to the Administrative, Commercial Support and Management Teams. The contract length is 7 months, with office hours from 7:00 am to 3:30 pm.

Requirements

  • Minimum Grade 12
  • 2 to 3 years’ office / reception experience required
  • Valid driver’s license is required
  • Excellent interpersonal skills, with a demonstrated ability to develop and maintain stable working relationships at all levels
  • Superior customer service skills
  • Demonstrated proficiency in Windows based programs including Excel, Word, and Access
  • Superior written and oral communication skills
  • Ability to work in a busy and intense environment

Nice To Haves

  • Diploma or Degree in Business Administration considered an asset
  • SAP experience an asset
  • Analytical skills and accounting experience would be an asset

Responsibilities

  • Daily Administrative and secretarial tasks as requested by the Management and Administrative Teams
  • Receptionist duties including overseeing the switchboard and greeting/directing contractors and visitors in a professional and friendly manner
  • Catering coordination, mail, and office supply ordering
  • Balance daily production
  • Coordinate courier shipments
  • Create annual Blanket P.O’s
  • Provide accurate accounting information and procedures for local and head office levels
  • Consistently run weekly and monthly reports as required
  • Create weekly Oil Arrival schedule
  • Provide month end support
  • Other duties as required
