About The Position

The Town of Snowmass Village is seeking an Administrative Assistant for its Transportation Department. This in-person role involves performing a variety of routine and specialized tasks, including data input, clerical support, data processing, parking permit sales, and administrative functions. The position serves as an executive administrative assistant, receptionist, and clerk for the department.

Requirements

  • A combination of experience, education and/or training equivalent to a high school degree with a minimum of one year of computer, clerical and administrative office experience.
  • Proficient in Word and Excel software and have a working knowledge of database software.
  • Ability to type at the minimum rate of 35 wpm.
  • Knowledge of office and administrative assistant practices and procedures.
  • Ability to handle cash receipts and process purchase orders.
  • Possess good customer service skills.
  • Possess good verbal and written communications skills; professional and polite telephone demeanor.
  • Ability to stay focused on tasks during minor distractions.
  • Possess good organizational skills.
  • Ability to create and maintain good working relationship with co-workers.

Responsibilities

  • Performs as the executive administrative assistant, receptionist and parking permit seller.
  • Distributes all mail and phone messages.
  • Performs data input, general filing and word processing.
  • Updates social media platforms as needed/required.
  • Takes minutes at staff meetings and transcribes correspondence from dictation.
  • Sells parking permits and bus passes, processes citations.
  • Balances cash transactions and provides receipt.
  • Processes bulk mailings.
  • Processes invoices for payment/reimbursement and inputs purchase orders into finance accounting system.
  • Prepares reports in Microsoft Word or Excel and Access programs.
  • Acts as record management clerk in sorting, indexing distributing, and retrieving files.
  • Maintains records in accordance with Record Retention Policy.
