About The Position

AV (AeroVironment) Defense & Interagency Services Business Unit (DISBU) is searching for an Executive Administrator to support the VP, DISBU and Division Leaders. This position is located on-site in Dayton, OH. As a leading defense technology provider, our strategy is to grow our business by delivering innovative, mission-critical, safe and reliable multi-domain solutions tailored to our customers most pressing challenges. As an Administrative Assistant with AV, you will play an important role in organizing, managing and keeping the VP, and division leads operating at a high level. You will be responsible for various administrative and organizational tasks like meeting management, calendar management and overall support of administrative functions.

Requirements

  • Bachelor’s degree in related field
  • 7 years administrative experience; prefer experience supporting a senior member of management
  • Excellent written, verbal and presentation skills with a keen eye for detail and accuracy
  • Excellent organizational, analytical, critical thinking skills.
  • Proven ability to manage priorities and workflow and respond to changing priorities and work well under pressure
  • Excellent interpersonal skills with high energy, positivity and professionalism
  • Experience working in a fast-paced, changing environment
  • Must be able to collaborate and interact effectively with diverse individuals and teams
  • Self-starter with the ability to work under minimal guidance and direction
  • Discretion and confidentiality in handling sensitive information and dealing with confidential matters
  • Willingness to work outside regular business hours as needed to support business needs
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, SharePoint) and other relevant software applications, with the ability to quickly adapt to new technologies
  • Professional demeanor and ability to defuse emotional situations in a calm manner

Responsibilities

  • Assisting in the coordination, planning and execution of a variety of activities and events (local and company-wide).
  • Coordinate meetings, travel, conference calls and expense management.
  • Perform administrative duties for an individual, department or business unit.
  • Create and edit documents, generate reports, spreadsheets and presentations.
  • Manage schedules, arrange appointments and itineraries.
  • Greets and provides general support to visitors.
  • Ensure presentations and conference rooms are prepared prior to meetings
  • Perform other job-related duties as assigned
