About The Position

The Administrative Assistant serves as a professional and welcoming first point of contact for employees, visitors, candidates, vendors, and callers. This role provides administrative and clerical support to the facility while helping ensure day-to-day operations run efficiently. The ideal candidate is organized, dependable, professional, and able to manage multiple priorities while providing excellent customer service. This position works closely with employees and leaders across all levels of the organization and supports a positive, respectful, and collaborative work environment.

Requirements

  • High school diploma or equivalent.
  • 2–3 years of administrative, receptionist, or office support experience.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work effectively with employees at all levels of the organization.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to learn and use ERP and other company systems.
  • Professional attitude and appearance.
  • Strong customer service and interpersonal skills.
  • Ability to work independently while also contributing effectively as part of a team.

Responsibilities

  • Greet and assist employees, visitors, candidates, and vendors entering the facility.
  • Answer incoming telephone calls, route calls to the appropriate employee, and take and deliver messages as needed.
  • Receive, organize, and distribute incoming mail and deliveries; manage outgoing mail and shipments.
  • Maintain the visitor log and follow all visitor and facility access procedures.
  • Provide visitor badges, safety vests, safety glasses, and other required items in accordance with site procedures.
  • Maintain a clean, organized, and professional reception and administrative area.
  • Assist job applicants who visit the facility with the application and hiring process.
  • Order and maintain office and facility supplies.
  • Review and edit labor entries in the ERP system as needed.
  • Maintain an adequate supply of forms and administrative materials for employees.
  • Assist employees with computer-based training and provide basic support when needed.
  • Coordinate and schedule employee training with managers, including required company training such as Ethics training.
  • Provide general administrative support to employees and managers as needed.
  • Maintain confidentiality and handle information in a professional manner.
  • Perform other administrative duties and special projects as assigned.
