We believe in being upfront so there are no surprises after day one: This is an operations‑support role, not a general front‑desk position. Accuracy, follow‑through, and organization matter more than multitasking chaos. You will handle time‑sensitive paperwork tied to active delivery routes. Daily work includes reviewing documents, reconciling records, and data entry. Schedules and workflows are structured, with occasional priority shifts based on volume. Strong communication with dispatch and operations is essential. This role is a great fit for candidates who enjoy structured, organized work, clear responsibilities, and making an impact through accuracy and consistency. As an Administrative Assistant, you will provide essential clerical and operational support to ensure daily delivery operations run accurately and efficiently. You'll work closely with dispatch, operations, and leadership teams to manage documentation workflows, maintain organized records, and support shipment reconciliation and reporting. Successful candidates are organized, detail oriented, dependable, and comfortable working within structured processes in a transportation or logistics environment. This role plays a critical, behind‑the‑scenes part in keeping routes accurate, records complete, and customers supported.

Requirements

  • 1–2 years of administrative or clerical experience (logistics or transportation preferred)
  • High school diploma or equivalent
  • Strong organizational skills with high attention to detail
  • Ability to manage priorities in a fast‑paced, deadline‑driven environment
  • Clear verbal and written communication skills
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Comfortable learning and using operational systems (e.g., TMS platforms such as Xcelerator or Freightoscope)
  • Reliable attendance and consistent follow‑through
  • Ability to work independently while supporting a team‑based operation
  • Problem‑solving mindset with a focus on accuracy and accountability

Responsibilities

  • Pull and review required daily operational and administrative reports
  • Assist dispatch with data entry and administrative support as needed
  • Reconcile shipments to ensure documentation aligns with system records
  • Verify rates are accurately entered and matched to corresponding shipments
  • Review, scan, organize, file, and distribute physical and digital paperwork to support accurate and efficient operations.
  • Review PODs (Proof of Delivery) and daily manifests to ensure all shipments, load details, and documentation are accurate, complete, and properly signed.
  • Maintain organized administrative records in company systems
  • Support additional administrative or operational tasks as business needs evolve
