About The Position

The Administrative Assistant 4 will serve as the primary administrative support person for the Senior Associate Dean for Academic Affairs and Education Innovation and the Associate Dean for Assessment. Additionally, the AA4 will provide episodic Office of Recruitment and Admissions administrative support. In this role the AA4 will be responsible for providing comprehensive support, expertise, and coordination of administrative functions. The AA4 will effectively anticipate support needs and prioritize duties including managing procurement, travel, and schedule management. Organizes meetings, conferences, special projects, and events in alignment with university and college procedures. The position independently and proactively manages multiple calendars preparing materials as necessary and works productively as a team member to provide back-up support to other college administrative support staff. AA4 will support faculty hires including following the university’s SHIFT process and assisting search committees with scheduling, logistics, and prospective faculty visits. The AA4 also serves to coordinate college-wide events, awards, and recognition activities in the college including the Back to School, Holiday, End-of Year, and Staff Appreciation events. This role will maximize the effectiveness, communications, and outcomes of the college’s events management in order to build community and enhance the college culture across our student, faculty, staff, alumni, and donor stakeholders. The AA4 will lead the strategy of planned programming to align with the college’s mission, as well as, the promotion and execution of planned events, including Pharmacy Leadership Council meetings and events. Responsible for programming objectives, requirements, contracts, catering, signage, and communication of events in partnership with college leadership, Staff Advisory Council, Marketing and Communications, Advancement and Development, and the business office.

Requirements

  • High School diploma or GED.
  • 4 years of relevant experience required.
  • Demonstrated experience in event planning.
  • Knowledge of The Ohio State University’s policies, procedures, and systems.
  • Familiarity with the university travel system.
  • Experience supporting executive-level leadership.
  • Proven ability to manage complex calendars and coordinate scheduling for senior leaders.

Nice To Haves

  • Associate degree in relevant field may be preferred.
  • 6 or more years of relevant experience preferred.
  • Proficiency in Workday is preferred.
  • Prior experience supporting promotion and tenure processes.
