About The Position

Aspen Custom Trailers is seeking an Administrative Assistant with Accounts Receivable experience to join their team in Leduc. This role is the face of the business, responsible for greeting visitors, managing the multi-line telephone system, and providing general clerical and administrative support to various departments. The position involves supporting customers with freight arrangements, managing yard access, organizing meetings, ordering supplies, maintaining filing systems, and coordinating service vendors. A significant part of the role includes accounts receivable duties such as processing payments, generating statements, monitoring outstanding balances, investigating discrepancies, and assisting with month-end reporting. The role also provides overflow support to the accounting team and may involve local supply pick-ups and data compilation.

Requirements

  • 1 year Administration experience.
  • 1 year of accounts receivable experience.
  • Completion of secondary school is required.

Responsibilities

  • Greet visitors in person and by telephone, ascertain nature of business and direct visitors to the appropriate person.
  • Manage multi-line telephone system, and direct inquiries to appropriate departments.
  • Process inbound and outbound mail and office courier shipments.
  • Supporting customers with arranging freight for completed trailers including border documentation as needed.
  • Yard control (sign in/out logbook) for customer and vendor access.
  • Organize and coordinate meetings, appointments and employee events
  • Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments.
  • Order office supplies and maintain inventory.
  • Set up and maintain manual and computerized information filing systems.
  • Coordinate service vendors (cleaners, etc.).
  • Performs various administration duties to support the other operational departments including preparation and processing of routine documents and spreadsheets.
  • Schedule and confirm appointments and meetings.
  • Process and apply customer payments received via cheque, EFT, ACH, wire transfer, credit card
  • Generate and distribute monthly customer statements.
  • Monitor customer accounts and follow up on outstanding balances.
  • Maintain accurate customer account records and payment histories.
  • Investigate and resolve billing discrepancies.
  • Coordinate with customers and internal departments regarding invoicing.
  • Assist with month-end accounts receivable activities and reporting as required.
  • Overflow support for accounting team members.
  • Pick up supplies and orders locally when required.
  • May compile data, statistics and other information to support research activities.
