About The Position

The Department Administrator is responsible for the overall administrative operations of the Mathematics Department and serves as a key resource to the Department Chair, faculty and students. The Administrator manages a broad range of academic, financial, personnel and programmatic responsibilities, supporting both the undergraduate and graduate programs. Working closely with the Department Chair and Assistant Chairs, the Department Administrator ensures the effective day-to-day operation of the department while supporting longer-term academic planning and departmental priorities. The position requires a high degree of independent judgment, organization, discretion and the ability to manage multiple complex processes and deadlines simultaneously.

Requirements

  • High school diploma plus one year of experience in an administrative role required, preferably in an academic setting.
  • Exceptional written and communication skills and strong problem-solving skills, as well as ability to work both independently and in a team environment.
  • Experience with databases, and electronic payroll and budget processes.
  • Microsoft Office skills, particularly Excel, familiarity with databases and website maintenance.

Responsibilities

  • Facilitate the administration of the department’s academic programs, including the undergraduate Core and mathematics major programs and the Mathematics Ph.D. program, in collaboration with faculty.
  • Ensure administrative continuity and support departmental goals and initiatives related to teaching and research.
  • Conduct research and analyze data related to courses, teaching evaluations, enrollment trends and other departmental needs.
  • Manage departmental budgets and financial transactions, including monitoring and reconciling accounts.
  • Oversee day-to-day office operations and supervise student employees, including hiring, scheduling, training and payroll.
  • Manage departmental communications, including the department website.
  • Manage expense reimbursements for departmental personnel and visitors, arrange hotel accommodations for visitors and manage logistics for departmental events.
