About The Position

Spring Health is a fast-paced, dynamic organization that values efficiency, excellence, and attention to detail. We are seeking a highly organized and proactive Administrative Assistant to support our NY-based executives with day-to-day errands and in-office support, as well as calendar management for other high-level executives (SVP+). This role is perfect for a resourceful, detail-oriented professional who thrives on multitasking and providing top-tier support. This is a full-time position reporting to the Manager, Executive Support. This role is full-time in person M-F 9:00AM - 5:30PM, with a 30 min lunch break, in our NYC Office located at 60 Madison Ave. As such, for this role we are only considering candidates located in the tri-state who are area willing to be in-office 5 days per week.

Requirements

  • 1–3 years of experience in an administrative, executive assistant, or operations support role.
  • Strong technical proficiency, including experience with Google Workspace (Google Calendar, Docs, Sheets, Slides, and Drive) and other productivity tools.
  • Exceptional organizational skills with the ability to multitask and prioritize competing demands.
  • High attention to detail and a proactive problem-solving mindset.
  • Strong written and verbal communication skills.
  • Comfortable handling both personal and professional tasks with discretion and professionalism.
  • Ability to work independently while maintaining a high level of accountability and reliability.

Responsibilities

  • Manage various errands, including coffee runs, dry cleaning pickups, vendor interactions, and other personal tasks to support executives.
  • Coordinate catering orders and manage meal arrangements for meetings and events.
  • Serve as the primary point of contact for office vendors and service providers, ensuring smooth operations.
  • Provide light calendar support for other high-level executives (SVP+), ensuring efficient scheduling and prioritization of meetings.
  • Assist with travel arrangements, reservations, logistics, and expense reporting as needed.
  • Maintain discretion and confidentiality in handling sensitive information.
  • Anticipate the needs of executives and proactively find solutions to logistical challenges.
  • Handle special projects and ad hoc administrative tasks to improve workflow efficiency.
  • Ensure all executive needs are met in a timely and professional manner.
