About The Position

Manzanita Place, an affordable housing community for older adults and individuals with mobility impairments, is seeking a full-time Administrative Assistant. This role provides essential clerical support to the Community Administrator and ensures quality service in a safe, non-judgmental manner to clients, visitors, and employees. The position operates in a cost-effective and service-oriented manner, adhering to established organizational standards.

Requirements

  • Demonstrated ability to communicate and comprehend oral and written instructions.
  • Ability to provide services to clients without ethnic or social prejudices.
  • General knowledge of issues and challenges unique to seniors and persons with disabilities.
  • High school degree required.
  • Proficiency with computers, especially data entry using Excel and Word Processing.
  • Demonstrated ability in record keeping.
  • Mathematical comprehension.
  • Good written and verbal communication skills.
  • Ability to provide a kind and welcoming environment to all visitors.
  • Polite telephone demeanor.
  • Teamwork skills.
  • Organizational skills.
  • Analytical and decision-making ability.
  • Lift and move up to 25 pounds.
  • Physically able to safely maneuver weight distribution of office supplies.
  • Stand, walk, bend, stoop, and sit frequently.
  • Climb stairs as needed.
  • Kneel occasionally.

Nice To Haves

  • One year of apartment management experience.
  • Knowledge of Fair Housing Laws.
  • Knowledge of state landlord/tenant rights and obligations.
  • Certified Occupancy Professional.
  • CMH designation.
  • Tax credit certification.

Responsibilities

  • Greet and assist walk-in visitors.
  • Receive incoming calls, answer questions, and direct calls as needed.
  • Order, distribute, and maintain an inventory of office supplies.
  • Open and distribute mail.
  • Maintain maintenance contracts and schedule repairs for office machines (copier, printer, fax, postage machine).
  • Process applications, certifications, and recertifications.
  • Complete lease packets and calculate rent.
  • Prepare documents in accordance with regulatory agency specifications and Fair Housing laws.
  • Collect rents from property residents.
  • Maintain resident and property files and waiting lists.
  • Assist with other projects as assigned by the Community Administrator.
  • Prepare and maintain resident files.
  • Enter and record accounts payable invoices.
  • Make flight and hotel reservations.
  • Create spreadsheets and reports as requested.
  • Copy, fax, and distribute documents for the Community Administrator.
  • Perform other duties as assigned.
  • Continually learn and enhance technical and interpersonal skills.
  • Attend staff meetings/assigned training and complete required certifications.
