About The Position

This position is responsible for assisting in managing the administrative functions of the Harbeson location. The role involves primary phone coverage, preparing and mailing packages, sorting and distributing mail, preparing and distributing daily reports, resolving administrative problems by coordinating report preparation, analyzing data, and identifying solutions. It also includes compiling documents and information, assisting with meeting budgets and reports, maintaining meeting calendars, creating charts and graphs, helping with PowerPoint presentations, performing data entry, and managing the filing and storage of important documents.

Requirements

  • High School Diploma or Equivalent
  • At least five years of Administrative Assistant and/or Executive Assistant experience
  • Advanced MS Office skills (Word, Excel, PowerPoint, Outlook)
  • A high level of polish and professionalism
  • Superior written and verbal communication skills
  • Strong organizational skills
  • Strong data entry skills

Responsibilities

  • Supports Allen Harim’s vision, mission and values
  • Primary phone coverage (first to answer all incoming calls)
  • Prepare and mail all US/UPS/Fed Ex packages.
  • Sort and distribute incoming mail.
  • May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required.
  • Preparing and distributing essential daily reports.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Compiles documents and information and assists with meeting budgets and reports, and maintains meeting calendars and history.
  • Creating charts and graphs for use in presentations.
  • Helping create PowerPoint presentations.
  • Perform large quantities of data entry.
  • Managing the filing and storage of important documents and other sensitive communications.
  • Perform other duties as assigned.
