About The Position

This is a part-time, temporary position of up to thirty (30) hours per week, providing administrative and scheduling support for the Executive General Manager (EGM) and Assistant Executive General Manager (AEGM). The role involves supporting day-to-day operations, managing calendars, handling correspondence, maintaining records, and performing general office duties. The position requires discretion and professionalism in handling sensitive and confidential information. Requirements

  • Associate’s degree or equivalent experience
  • 3–5 years of administrative or office support experience, preferably in support of Executive or Senior Management in a professional or corporate environment.
  • Ability to work effectively in a fast-paced, deadline-driven environment and manage multiple priorities.
  • Strong attention to detail and organizational skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to interact professionally and effectively with individuals at all levels of the organization.
  • Ability to anticipate administrative needs, follow instructions, and demonstrate strong follow-through.
  • Ability to work independently with minimal supervision while exercising discretion and maintaining confidentiality.
  • Proficiency in Microsoft Office Suite and other standard office and business software

Responsibilities

  • Serve as a secondary administrative and scheduling contact for the Executive General Manager (EGM) and Assistant Executive General Manager (AEGM), providing support with day-to-day operations.
  • Provide secondary support in maintaining the EGM and AEGM calendars; schedule meetings and appointments, with particular attention to avoiding scheduling conflicts; and coordinate complex scheduling needs efficiently and effectively.
  • Answer incoming telephone calls, direct calls to the appropriate parties, and accurately relay messages as needed.
  • Greet visitors and determine appropriate access to individuals or areas based on established protocols.
  • Review and analyze incoming memoranda, submissions, and reports to determine their significance and facilitate appropriate distribution.
  • Perform general office duties, including ordering and maintaining office supplies, maintaining records and database systems, and performing basic bookkeeping and administrative tasks.
  • File, organize, maintain, and retrieve corporate documents, records, and reports as needed.
  • Open, sort, and distribute incoming correspondence, including mail, faxes, and electronic communications, to the appropriate parties.
  • Handle highly sensitive and confidential written, electronic, and oral communications concerning company-related matters with discretion and professionalism.
  • Perform other related duties and responsibilities as assigned.
