Requirements

  • 12 years of administrative, clerical, or office support experience preferred
  • Demonstrated commitment to delivering a high-quality client and colleague experience
  • Strong attention to detail with the ability to manage multiple priorities simultaneously
  • Ability to operate effectively in a fast-paced, deadline-driven environment
  • Strong organizational and time management skills
  • Clear and professional written and verbal communication skills
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
  • Ability to learn new systems and internal processes quickly
  • Professional demeanor with the ability to build effective working relationships across teams
  • High level of integrity and discretion when handling confidential information

Responsibilities

  • Serve as the first point of contact for incoming calls and visitors, ensuring a professional and welcoming client experience
  • Manage and distribute daily mail and correspondence with accuracy and timeliness
  • Maintain and monitor recurring reports, ensuring data integrity and proper routing to internal stakeholders
  • Coordinate scheduling across leadership and team members, managing calendars, meetings, and logistics
  • Support office operations including purchasing, vendor coordination, and supply management
  • Maintain organized records, files, and documentation in accordance with company standards
  • Provide administrative support to leadership and team members to ensure efficient daily operations
  • Identify opportunities to improve administrative workflows and implement process efficiencies
  • Uphold confidentiality and discretion in handling sensitive client and company information
