This role is crucial in supporting our leadership and operations teams to deliver outstanding home health services. Joining our team offers opportunities for future growth and advancement. This position reports directly to the SVP of Operations and provides broad exposure across the organization, contributing to CareAparent’s mission and expansion.

Requirements

  • Associate or bachelor's degree
  • 2+ years in a comparable office or executive assistance role
  • Proficient with Microsoft Office products (Outlook, Teams, Word, PowerPoint, Excel)
  • Proficient with virtual meeting platforms (Teams, Meet, WebEx)
  • Understanding of office procedures such as filing, copying, record keeping
  • Must pass a background check prior to employment.

Responsibilities

  • Greet and check-in visitors, employees, and vendors with professionalism and hospitality
  • Maintain cleanliness of front reception area, meeting rooms, and training room
  • Answer and route incoming phone calls or messages
  • Scheduling of office events & coordination of conference rooms
  • Prepare meetings by ordering, catering, or stocking supplies
  • Perform administrative duties for CareAparent’s Board of Directors, including but not limited to scheduling, meeting room preparation, greeting, etc.
  • Manage office supply inventory, including ordering/reordering and budget management
  • Ensure inventory/stock levels at both Woodbury and Plymouth office locations
  • Perform general administrative and office functions such as filing, copying, and faxing
  • Perform data entry functions as needed
  • Maintain, update, and coordinate the Executive Leadership Team (ELT) calendars
  • Attend meetings as needed for documentation, follow-up, and coordination
  • Provide general office administrative support to departments as needed or assigned
  • Assist with audit/inspection preparation, including greeting surveyors, notifying leaders and team members, and adjusting schedules as needed for surveyor meetings
  • Ensure adherence to HIPAA and other regulatory requirements
  • Support the Director of Compliance, Director of Nursing, and QAPI Manager with duties as assigned.
  • Assist with home health reporting, projects, and other tasks assigned, under the guidance and oversight of the SVP of Operations
  • Help with scheduling and marketing for in-office and community events (Holiday parties, Company Town Hall meetings, external events & activities)
