About The Position

TPC Deere Run is seeking a Part-Time Administrative Assistant to provide administrative support to the Golf Course Maintenance Operation. This role involves interacting with internal clients, providing guidance to employees and supervisors, and managing various administrative and employee-related functions. The position is based in Silvis, Illinois.

Requirements

  • High school diploma or equivalent education.
  • Thorough knowledge of general business administration practices acquired through two to three years of similar experience in progressively responsible positions.
  • Ability to comply with all applicable federal, state, and local safety and health regulations.

Responsibilities

  • Greet and welcome employees, vendors, and guests professionally and courteously.
  • Provide administrative support to the Golf Course Maintenance (GCM) team, including drafting correspondence, answering phones, coordinating meetings, maintaining calendars, and making travel arrangements.
  • Update the calendar of club functions.
  • Open and distribute departmental mail.
  • Act as a liaison with other departments and outside agencies.
  • Handle and process all incoming invoices for the department.
  • Maintain reporting and document storage for the GCM Department according to retention policies.
  • Order and stock office supplies for the department.
  • Maintain copy machine service records and supplies.
  • Maintain records of employee meals and submit to Accounting monthly.
  • Act as a liaison between the club and the National Human Resources team.
  • Communicate accurate information regarding club policies, procedures, training programs, and benefits to employees.
  • Process payroll and employee documents for all club employees and transmit data weekly.
  • Maintain club employee and payroll records according to retention policies.
  • Ensure the timekeeping system is in proper working order.
  • Maintain an up-to-date inventory of employment forms and job descriptions, and process orders with cost allocation.
  • Be knowledgeable of relevant employee/payroll laws.
  • Participate in recruitment efforts, coordinate temporary employees, administer pre-employment assessments, background checks, drug screenings, and conduct reference checks.
  • Conduct new employee orientations and ensure annual Service Excellence training.
  • Coordinate Workers' Compensation and general accident reports and follow-up.
  • Ensure all employee communications and required postings are accurate.
  • Assist with special projects or other duties as assigned.
