The Administrative Assistant for the Pepperdine College of Health Science (PCHS) will provide general administrative support across the college, while directly supporting the administrative needs of the enrollment management, student services, and accreditation and assessment areas of the college. In turn, the school will advance the University’s mission and strategic plan by developing skilled healthcare professionals who seek to lead while serving our communities and the world. In supporting the college in achieving its mission, the Assistant will advance Pepperdine’s mission and strategic plan. Duties Responsible for supporting the administrative needs of the enrollment management, student services, and accreditation and assessment areas of the College of Health Science. In performing these duties, the administrative assistant may interact with both internal and external executives, assistants, and consultants, coordinate a variety of meetings, perform a range of other administrative tasks related to the performance of each area. Coordinate events on behalf of the PCHS. Support the Executive Assistant to the PCHS Dean. Conduct a wide range of administrative tasks: Organize and maintain files; Process vendor payments, credit card billing, and reconciliations; Order supplies, equipment, and other items; Maintain and ensure the confidential and accurate storing and handling of data and records; Formulate and maintain spreadsheets and databases; Draft memoranda and reports; Prepare for meetings, including catering and meal requests. Manage PCHS communications: e-mail, telephone calls, and incoming and outgoing correspondence, applying technological support solutions to improve efficiencies. Plan and monitor special projects for the PCHS, especially in the areas of enrollment management and student services, proactively researching and determining available resource requirements; utilizing appropriate technologies/methodologies to help administratively support project completion. Support the broader administrative functions of the College of Health Science, including providing administrative support to college staff and personnel. Perform other duties as assigned.
