About The Position

SQPA is seeking an organized, approachable Administrative Assistant to support daily operations at our Cambria COMPASS Center. The Administrative Assistant will help keep participant records accurate, support enrollment and attendance tracking, and provide clear, timely communication to families and staff. This role is well suited to someone who enjoys helping people, managing details, and keeping a busy program office running smoothly.

Requirements

  • High school diploma; diploma and transcript documentation required.
  • Strong organization, attention to detail, and verbal and written communication skills.
  • Ability to use email, word-processing tools, spreadsheets, and electronic records systems, with a willingness to learn program-specific software.
  • Ability to manage competing requests, maintain accurate records, and handle confidential information with discretion.
  • Professional, patient approach to working with children, families, visitors, and colleagues.
  • Employment is contingent on required clearances and screenings for work in a children’s and youth program setting.

Nice To Haves

  • Experience in administrative support, customer service, or a school or youth program setting preferred.

Responsibilities

  • Welcome families and visitors, respond to routine questions, and direct inquiries to the appropriate staff member.
  • Assist families with enrollment paperwork, check forms for completeness, and follow up on missing information under the supervisor’s direction.
  • Maintain organized participant files, emergency contact information, permission forms, and other program records while protecting confidential information.
  • Collect and enter attendance information, help reconcile missing or inconsistent entries with program staff, and prepare records for supervisory review.
  • Prepare correspondence, family notices, schedules, sign-in sheets, and other materials needed for daily operations.
  • Support staff meetings, training sessions, family events, and program activities through scheduling, materials preparation, and administrative follow-up.
  • Monitor office supplies and communicate replenishment needs to the supervisor.
  • Assist with compiling program information and routine reports; promptly flag missing records or approaching deadlines.
  • Attend required staff meetings and training sessions.
  • Perform other related administrative duties as assigned by the supervisor.
