About The Position

Coffman Engineers is seeking an experienced Administrative Assistant for our Anchorage office. The successful applicant will have a positive attitude, excellent communication and organization skills. This position is direct with Coffman Engineers.

Requirements

  • 3-5 years of administrative experience
  • High school diploma or GED
  • Valid driver’s license and driving record that meets Coffman’s stringent requirements are required
  • Ability to lift up to 30 pounds
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication skills, both written and oral
  • Ability to successfully collaborate with all team members on a regular basis.
  • Professional writing skills, using proper spelling and grammar
  • Exceptional time management skills with the ability to prioritize tasks, multitask, and work efficiently in a fast-paced environment
  • Strong attention to detail with the ability to accurately identify, review, and capture required information
  • Ability to exercise sound judgment in making independent decisions and determining the best approach to specific tasks
  • Capability to learn new office software
  • Ability to work independently and as part of a team

Responsibilities

  • Collaborating with engineers and technical staff to produce and edit client deliverables, including project specifications in a variety of software
  • Maintaining organized digital filing systems, handling confidential records with discretion, and updating company databases
  • Providing direct support and assistance to senior team members and department heads
  • Using Microsoft Excel to maintain company event budgets and other expenditures
  • Using Microsoft Word to proofread documents
  • Using Microsoft Word to create and edit quality professional documents using advanced formatting tools
  • Scanning, binding, shredding
  • Scheduling staff travel, hotels, rental cars, and other logistics as necessary
  • Driving company vehicles to and from maintenance appointments
  • Running company errands
  • Maintaining the office in a clean and orderly manner
  • Assisting with the planning and coordinating company events which will include setting up and breaking down the event space, ordering food, and purchasing supplies
  • Working closely with other individuals in a team environment
  • Occasionally performing receptionist duties
  • Other administrative duties as assigned
