About The Position

The Administrative Assistant provides high-level administrative and operational support to Market Growth and Sales leadership in a fast-paced, customer-focused environment. This role serves as a key partner to leaders and sales teams by managing calendars, coordinating meetings and events, preparing business materials, supporting office operations, and ensuring a seamless employee, client, and broker experience. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities while maintaining professionalism and confidentiality.

Requirements

  • 3+ years of administrative support experience, preferably supporting leaders in a corporate or sales environment.
  • Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to manage competing priorities, work independently, and meet deadlines in a fast-paced environment.
  • Demonstrated attention to detail, problem-solving skills, and commitment to customer service.
  • Ability to handle confidential information with discretion and professionalism.

Responsibilities

  • Provide administrative support to Market Growth Leaders and Sales leadership, including calendar management, travel coordination, expense reporting, and meeting scheduling.
  • Prepare, edit, and distribute presentations, reports, spreadsheets, and business correspondence using Microsoft Office applications.
  • Anticipate leader and team needs, prioritize requests, and ensure timely completion of deliverables.
  • Coordinate meetings, client events, leadership meetings, and office activities from planning through execution.
  • Reserve meeting space, arrange catering, prepare materials, capture meeting notes, and manage logistics.
  • Support local market events, community engagement activities, broker meetings, and customer-facing gatherings.
  • Partner with administrative teams across multiple locations to coordinate meetings and leadership activities.
  • Support day-to-day office operations, including office supply management, promotional inventory, mail distribution, printing, binding, and shipping requests.
  • Assist with budget tracking, invoice processing, and expense management.
  • Help maintain a productive and professional office environment while supporting local office initiatives and operational needs.
  • Build strong relationships with leaders, sales professionals, brokers, clients, and internal business partners.
  • Provide responsive support to employees across the sales organization while serving as a trusted resource for administrative needs.
  • Cross-train and provide backup support for other administrative professionals when needed.
  • Participate in projects and process improvement initiatives that enhance team effectiveness and office operations.
