About The Position

The Administrative Assistant Commercial Markets (Agriculture) role involves managing executive calendars, coordinating meetings, handling communications, and maintaining team records. This position acts as a delegate for the VP during absences, ensuring smooth operations and prioritization of tasks. The role also involves developing various business materials, organizing team events, and managing distribution lists and communications. Collaboration with other Executive Assistants is key for managing sponsorships and budgets, and connecting with external stakeholders to enhance RBC's market presence.

  • Ability to handle sensitive and confidential information with discretion.
  • Superior attention to detail, calm under pressure, and confidence.
  • Innate ability to develop and maintain constructive and cooperative working relationships with individuals at all levels of the organization.
  • Proficient with Microsoft applications such as Outlook, Word, Excel, Powerpoint.
  • Comfortable learning RBC systems and tools such as Workday and other legacy and new digital systems and tools.

Responsibilities

  • Manage and maintain executive calendars.
  • Coordinate meetings and conferences, ensuring all materials, packages, and catering requirements are provided.
  • Act as the VP’s delegate for email and phone during absences, handling and forwarding issues, and prioritizing for VP’s action upon return.
  • Develop communications, meeting/conference materials, forms, documents, presentations, and spreadsheets for multi-channels.
  • Coordinate all requirements and maintain appropriate records for managing the team, including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence for the VPs and their teams.
  • Organize regular team meetings, employee recognition celebrations, and other team events.
  • Maintain global distribution lists and distribute group-wide communications.
  • Raise awareness among the team, extend invitations to key business partners, and maintain effective knowledge of all relevant resources and services available within the organization.
  • Collaborate with other EAs across the market to manage sponsorships, donations, and other expense budgets.
  • Connect with external community stakeholders to assist with RBC market presence.
